Minutes from the Meeting of Sport Kingston held on
4th October 2011, Malden Wanderers, New Malden
Present:
Adrian Pearman (Chair); George Noble (Vice-Chair); Roger Corry (Treasurer); Hedley Featherstone; Satinder Sehra; Marcus Cabeca; Gillian Libretto; Sandie Barker (RBK); Terri McAllister (Secretary).

1. Apologies
Apologies were received from Cllr Marc Woodall and Eileen Gray CBE.
 
2. NoTanx Freediving Club.

2.1 MG outlined to Committee how the pool hire charges vary and why it is of concern to the club. A background paper was circulated prior to the meeting and discussed in more detail with MG:-

• MG - the club has approx 100 members with a waiting list
• Members pay an annual membership of £140 which allows them to use two venues
• Members pay the same membership regardless of the venue they use
• The club caps the number of divers in each session to 20
• Particular concerns are that DC Leisure run both the Tooting and Malden Centre pools but the hire costs vary considerably - Malden Centre charge 111.27 (133.53 incl vat) per session for the whole pool which equates to £18.55 (22.25 incl vat) per lane and Tooting charge 22.50 (27.00 incl vat) per session for 2 lanes which equates to 11.25 (13.50 incl vat) per lane, even an earlier time slot would cost the same amount
• The cost of hire at Malden Centre has risen by 6.95 (incl vat) per session
• MG informed that he has spoken to Malden Centre about the fees but has heard nothing
• MG - the increase in charges could result in the club leaving the Malden Centre

Committee asked further questions and made a few suggestions:-

• Why not increase the membership fees? MG - fees rise annually and it wouldn’t be fair to ask members of Tooting/Kentish Town to pay more as they might feel they are subsidising the other venues.
• Why not have separate membership costs for each venue to at least cover the pool hire costs? MG - not possible
• Are there any additional costs to members? MG - no, they only pay membership/pool fees of £140
• The difference in price could be due to Tooting pool being more subsidised than Malden Centre

Committee agreed that the next steps would be to write to DC Leisure to ask why the fees between Tooting and Malden Centre differ so much and decide on further action following this reply. AP to write to DCLeisure.

MG left the meeting - normal Agenda resumed.
 
3. Matters Arising from previous meeting.
3.1 Item 4 - SB - the Cycle Race Test Event was a success, lots of lessons learnt and are now planning for 2012. AP - attended a Cultural Olympiad meeting recently and confirms that a lot of preparation and thought is going into planning for 2012.

3.2 Item 7.1 SB - Playing Pitch Strategy - consultant has nearly completed the report but it needs tidying up which will cost - the document is needed and will be very useful when applying for future funding.

3.3 AP informed that MC had recently received Kingston University’s award for Coach of the Year. Congratulations were extended to MC who informed that there is a Brazilian show this Sunday at the University.
 
4. GK 2012 Update
4.1 SB circulated the GK2012 newsletter and structure chart and explained the roles of the groups and how they link together.

The Torch Relay is due to come through Kingston the week beginning 23rd July 2012 and lots of activity is needed along the route.

The Cultural Olympiad is pulling together a programme of events and will focus on 5 main events in Kingston. SB informed that all clubs will receive notification soon of how they can be part of the celebrations.

Look and Feel - each local authority has been awarded £50k to dress the town - although it sounds a lot of money the cost of merchandise is high and won’t go very far.
 
5. Budgets
Committee need to decide on projects to support now that the Good Sports Project which is coming to an end.

5.1 SB put forward a proposal:-

• One of the main events in 2012 will be Kingston’s Alternative Games on 5th August, it will take place in 5 areas in Kingston town centre and give clubs the opportunity to have a stall or hold taster sessions to increase their membership, raise awareness of the variety of sport we have within the borough and also be part of the Olympic celebrations. The proposal is that any clubs that participate in this, or any of the other main events, will be given the opportunity of funding a 6 week coaching course for newcomers that sign up on the day, costing approx £300 per club. Sport Kingston could fund the cost of coaching adults and young people under 14 years and over 25 years of age.

Committee discussed this further and voted on this proposal as no others were put forward. The Committee agreed.


5.2 SB - a 24 page full colour programme of events will be published and circulated in May 2012, around 60,000 copies will be printed. There is an opportunity for Sport Kingston to sponsor the back page at a cost of approx £1000. This advert would promote the Committee, highlight the website and how we support sport in the borough.

5.3 Website costs - TM explained how the website has grown considerably and the volume of work now exceeds the agreed 2 hours a week undertaken by Chris Grace to upload and update content. Chris also spends time improving the sports directory etc, and is always helpful when creating new pages and ideas, at the moment he is working more than the agreed 2 hours for no extra money. Content on the website will increase in 2012 and TM requested an increase in the hours from 2 to 4 a week. The cost of this would be £2850 p.a. for 3 hrs a week and £3450 p.a. for 4 hours, this includes hosting the website, we currently pay £1900 p.a. for 2 hours.


Committee discussed:-
• Budgets are very tight and are likely to be reduced over the next few years due to cuts in the RBK grant, a commitment to increase the hours to 4 may limit any future projects we may wish to support
• The website is an important part of Sport Kingston and our main communication tool
• The website should start paying for itself, perhaps local businesses could pay to advertise. It would be better to charge businesses to advertise rather than charge clubs an annual fee to be a member of Sport Kingston
• Committee are cautious to spend all funds on the website

Committee did not agree to increase the hours at this stage.
6. RBK Grants
SB reported that RBK Grants will be changing from 2011/12. The criteria will change and organisations will have to show an element of fundraising in their application. Sport Kingston have to apply by November 2012 for funding for 2013/14. This will be discussed more in depth at future meetings.
 
7. Good Sports Update
HF informed that the project will end in December. To date 25 clubs and 100 volunteers have registered. More time is now being spent on the GK2012 Volunteer project which is looking to develop a team of volunteers for events leading up to and beyond 2012.
 
8. AOB
8.1 TM asked if someone could offer a lift to Eileen Gray for the Borough Sports Awards on the 20th October, AP offered. SB suggested that a special award be given to EG for her outstanding contribution to sport - Committee agreed.

8.2 RC - informed that Tolworth Gym Club has a 22 year old lad who has performed for Ireland and became a Bronze medallist in the world championships.

8.3 RH - informed Committee that the plans to rebuild Chessington & Hook Utd’s
facilities have been cancelled, all applications have been withdrawn. RH is often asked by members the reason why, unfortunately he cannot answer them. There are many contributing factors and Committee agreed to take the following steps to find out why the plans have been cancelled:-

1. AP to speak with Andrew Ellis
2. AP to contact RBK planners - Kerry Barratt in the first instance
3. Meet with Cllr Woodall to discuss and then meet with Cllr Simon James if appropriate.
 
9. Date of Next Meeting
The date of the next meeting will be Tuesday 29th November, 12 noon in Guildhall 2, meeting room F on the first floor.
